Methodology for a successful implementation at Vauxoo
Previously in our blog Steps to implement an ERP we told you what the types of implementations are and what the process of each one is. On this occasion we want to tell you how over time at Vauxoo we have developed the ideal methodology to make implementations a success.

To begin, it is necessary to know that our methodology consists of 5 phases and something important to take into account is that the first 4 phases do not occur sequentially, but rather iteratively, so it is very likely that these 4 phases are being executed in a timely manner.

Below, we tell you briefly what each step in our methodology is about:

Planning and preparation 

There is always a constant interaction and communication between the client with the sales team and with the project team before starting to implement the software.

Feedback from each team is continuous and everyone involved knows the area and line of business perfectly. Once this process occurs, it begins with the first point of planning and preparation: the kick-off meeting.

Kickoff meeting

In the kick-off meeting, the expectations of the client are known, with the aim of aligning the needs of your company with the service that we offer. This meeting is held regardless of the size of the company because even if it is a small organization, it is important to know the expectations that it has.

In addition, this meeting discusses:

  • The scope of the project.

  • The roles and responsibilities of those who will be part of each side in the project.

  • The key factors of success.

  • The forms of communication that will be used.

  • How the governance and monitoring of the project will be.

Initial technical deployment

Once the kick-off meeting takes place, an initial technical deployment is made in which there is a test instance in Odoo, this will help us generate the gap analysis, which will allow us to know where efforts should be focused and know if development is needed.

Initial training for the team of leaders and key users

In this stage, the leaders and key users of the project are introduced to the Odoo online documentation platform so that they can have knowledge about the main workflows. In this way, they will better face the process of clarifying doubts with the consultants, since they will have a general knowledge of what they already have as a system.

In this step, the project manager seeks to gather all the necessary information about thebusiness needs. It is carried out through interviews with department heads in which work flows are analyzed. The deliverable at this stage is a prototype specification and a gap analysis.

Before being delivered to the client, this analysis is subjected to expert evaluation to replicate the analyzed processes and propose the pertinent recommendations that seek to reduce implementation times to a minimum using Odoo's standard functionalities.


Execute the plan

Functional deployment

Once the plan was elaborated, a functional deployment is made with the tools that were required by the company.

Once the concept tests of all the functionalities have been completed among the leadersproject, we are ready to show the solution to the key users of the company.As a result, it will be possible to validate the development requirements in which it is worth theworth investing time.

Development, data loading and testing

The requirements are developed according to the needs of the business, in addition, the histories of the previous system that the company had to the new software are loaded and tests are carried out to verify that everything is in order, all this always based on the results of the analysis of gap.

In this stage, some processes happen in parallel:

  •  IData import.

  • The specific developments considered essential.

  • Integration with third party software.

Each process is handled by a technical team at Vauxoo and everything is tested and validatedby the project manager.


Functional deployment

Acceptance Tests

At this point, the solution has already been developed according to the requirements and needs of the company, and it is time for the client to use it. 

All training and meetings are documented in videos so that the implementation leader can have them as a reference and be able to carry it out.

It is in this phase where the last validations by the client take place to give the green light to all the flows and developments and then allow the system to go into production.


Output to production

Stabilization

Once the final approval is obtained, only the output to production remains, in this phase is the stabilization process, where the company is accompanied in case of requesting extra requirements.

In these 4 phases, the Project Manager in charge accompanies the client throughout the implementation process, there is always direct communication to correctly channel each requirement that is requested.
