Winning a new bid should be a reason for celebration, but for many executives, success comes with a silent anxiety: the fear that growth will end up devouring profitability. There is nothing more frustrating than watching the company expand while operational visibility fades away.

It is the paradox of "growing but losing control," where management no longer knows for sure if a project is making money or if it is leaking through the cracks of outdated processes. For FAPCOM, this was not an unfounded fear, but a daily challenge that threatened its ability to scale.

A reality of paper and cells: The evolution of FAPCOM

FAPCOM operates in an unforgiving industrial duality: on one side, the deployment of fixed and mobile telecommunications networks; on the other, the critical safety of railway traffic in Costa Rica, installing level crossings and railway switches.

In what Jorge Nadal, General Manager, remembers as the "old days," the operation survived among folders and manual processes. Asset management was a maze of paperwork and signed notes: every time a tool or equipment was handed to a technician, a physical requisition form was filled out. As Nadal describes with frustration: "You had to go to the folder to see what had been assigned to each person".

This was compounded by a disconnected ecosystem of Excel files for budgets, tasks, and executions. The business was fragmented into information silos; decision-making relied on individual memory and manual data cross-referencing that rarely matched. It was evident that a national infrastructure could not be scaled on a paper-based foundation.

The "Click" Moment: The Alliance with Odoo and Vauxoo

The search for a solution was not random. Jorge Nadal was specifically looking for an open-source system that was modular and capable of unifying every gear of the company. Upon finding the ideal platform, the connection was immediate: "We clicked... and that was already half the decision made", says Nadal.

However, the real value emerged when choosing the strategic partner. In a market full of implementers who say "yes" to everything, Vauxoo stood out for its brutal honesty. During the implementation, they acted as business consultants rather than technicians.

In the face of requests for excessive customization or "whims" that could compromise the system, the Vauxoo team was clear: "We can do it, but we do not recommend it because there is a flow that is more standard and aligns better with the business". This guidance allowed FAPCOM to adopt global best practices instead of replicating its old vices on a new platform.

From chaos to precision: Benefits in daily operations

The digital transformation at FAPCOM did not remain theoretical; it changed the way each employee interacts with the business. Today, the company uses Odoo intensively to manage Budgets and Purchase Orders, closing the gap between the office and the field.

  • Financial Visibility with Cost Accounting: The accounting department has stopped being a "registrar" of invoices to become an intelligence engine. With the registration of fixed assets, banks, and integrated financial statements, the accounting cycle is smooth.
  • Digital Asset Control: No more tracking in folders. Every asset that enters is registered, assigned digitally, and monitored in real time. Management knows exactly who has what, eliminating losses and optimizing inventory.
  • Profitability with One Click: This is the ultimate achievement of the implementation. Thanks to the extensive use of analytical accounting, Jorge Nadal can, with one click, compare sales against expenses by task. They know immediately if a specific activity is profitable or deficit, allowing for surgical adjustments before it is too late.

Information at Everyone's Fingertips

Imagine a FAPCOM technician in a rural area of Costa Rica working at a level crossing. In the "old days," any material request or budget change involved physical paperwork and days of waiting.

Today, information is a "shared truth." Data is democratized: from the general manager to field technicians and the administrative team, everyone accesses the same tool in real time. If a coordinator needs to validate a budget or review a purchase order, the information is "there, at everyone's fingertips." This agility not only saves time but also eliminates human friction and misunderstandings, allowing the team to focus on quality execution.

Lessons Learned: The Transformation According to FAPCOM

Software is not magic, it is the process
Technology is just the enabler; real success comes from building sustainable processes and letting the system guide the operation towards proven standards.

The value of a Partner "in the trenches"
An ally like Vauxoo doesn't just install modules. At FAPCOM, the consulting team was present during critical moments, ensuring backups and safeguarding the integrity of the information.

Stick to your own trade
The entrepreneur must dedicate 100% of their time to thinking about how their business flows and how to improve, delegating the technical complexity to experts who ensure that the tool is always up to par.
