What is an electronic invoice?

An electronic invoice is a digital document that certifies a commercial transaction between a buyer and a seller. Unlike paper invoices, electronic invoices are issued and stored digitally. That format brings several advantages: faster issuing, easier storage and retrieval, and greater confidence in the document's authenticity.

Every electronic invoice carries a digital seal, also known as an Advanced Electronic Signature, which validates its origin and gives it legitimacy before the SAT. The seal guarantees the invoice has not been altered and comes from an authorized source.

What is a CFDI?

The CFDI is an XML document designed to meet the SAT's specifications and requirements. For an electronic invoice to be valid, it must be authorized by an Authorized Certification Provider (PAC). This intermediary verifies and certifies the invoice's validity, guaranteeing it meets every legal requirement.

Electronic invoices must include specific information such as the transaction date, and must be sent to the SAT on time and in the correct form. Because they are digital documents, they allow large volumes of information to be handled quickly and make searching and retrieving documents far easier than physical storage ever could.

Requirements for issuing an electronic invoice

Before starting with electronic invoicing, taxpayers must meet several requirements:

Register with the Federal Taxpayer Registry (RFC):

This is the first step for any taxpayer in Mexico.

Have an e-firma:

This digital signature is the taxpayer's proof of identity.

Hold a Digital Seal Certificate:

This certificate adds a further layer of security that validates the receipt.

Stable internet access:

It is essential for issuing and receiving electronic invoices efficiently.

Use an invoicing system:

It can be the system provided by the SAT or a private invoicing provider.

Electronic invoicing and the CFDI have transformed how commercial transactions are handled in Mexico. The system not only brings greater efficiency and security, it also makes it easier for taxpayers to meet their tax obligations. Backed by secure platforms and authorized providers, electronic invoicing remains an essential tool in Mexico's digital economy.
