Behind a football team, there is an operation that almost no one sees: several related companies, billing to clients, payments to suppliers, payroll, expenses to control month by month, and an obligation that does not allow for improvisation: compliance with the tax authority.

When Katia Alvarado joined as the accounting manager of Club Scorpions, that operation was not supported by any system. It relied on the effort of the people. There was no tool that issued an invoice, controlled a payroll, or provided visibility over certain expenses.

Several companies, one single need: to have control

The starting point of Club Scorpions was not a malfunctioning ERP, but the absence of a platform capable of sustaining the day-to-day administration of a sports project with several entities. As Katia recalls, there was "the need to have a system that was functional for our day-to-day," one that integrated the issuance of invoices, payroll control, and expense tracking that until then had been managed without software support.

To that operational need was added a structural condition: the club is not a single company, but several. Any solution had to allow them to be managed together, with the information from all available in one place and on time.

Why an ERP and not just an invoicer

The first fundamental decision was conceptual. Club Escorpiones was not looking for a program to issue receipts: it was looking for a way to see its operation. For Katia, having an ERP is what allows «to control both income and expenses, see how the company's operations are going» and detect in time if there is a need to focus on a specific line of the balance sheet. And to do it continuously, almost daily, not just once at closing.

The decision: Odoo for integration, Vauxoo for support

After evaluating several alternatives, the choice of Odoo was based on very concrete criteria. The main one: that billing and accounting lived in the same system, without manual bridges.

The second criterion was the multi-company structure: managing all the club's companies on a single platform. And regarding technology, the choice of partner weighed heavily. Localization of Costa Rica and native modules: comply without surprises

For an organization that can be audited, compliance is not an extra: it is the foundation. The club needed every movement to be recorded correctly and aligned with Costa Rican regulations, so that in the event of a review everything would be visible and consistent.

The implementation was done with native Odoo modules, without custom developments. That technical decision had a practical effect on the day-to-day operations of the accounting area: when a regulation changes in the country, Vauxoo applies the update to the localization and the internal team does not have to figure out how to adapt the system to continue complying.

Key insight. Implementing with native modules and a localization maintained by the partner turns tax compliance into a process that updates itself. The internal team no longer has to deal with regulatory migrations and can focus on analyzing the information, not on maintaining the system.

A supported start

Starting from scratch with an ERP, without prior experience with the tool, is often the most fragile moment of a project. The loading of initial balances was resolved with a simple method: templates prepared by Vauxoo that the club only had to complete before going live. "Being new to the system, having someone help us with that made the start much easier," summarizes Katia.

The support continued after going live, as a close and available relationship with the Vauxoo PM assigned to the project.

From the start to day-to-day

Today Odoo is the daily work tool for the club's accounting area. It is not a system that is consulted occasionally: it is where the operation happens. Katia uses it daily for issuing invoices, tracking accounts receivable, pending invoices to suppliers, payroll registration, and controlling the financial movement of the teams. Additionally, she values being able to compare months and years, and see how the operation has changed over time.

The most important change is not how many tasks were transferred to the system, but the trust that the team has today in what the system shows. With that information, decisions are made every week and every month, projections are made, and quarters are compared, without the suspicion that the data might be wrong.

Learnings for other organizations

Key insight. When an organization operates with multiple companies, order is not achieved by adding tools, but by integrating them. Uniting billing, accounting, suppliers, and payroll in a single platform —and resolving localization from day one— prevents rework before it appears.

Club Scorpions did not come from a bad experience with an ERP: it came from not having one. And that is precisely the lesson. There is no need to wait for disorder to become a serious problem to build a solid foundation. You can start well. When Katia is asked to summarize her experience with Odoo and Vauxoo in one word, she responds: "excellence".
